Two health information leaders for a multi-hospital healthcare system in the northwest faced a familiar battle. They were charged with finding significant cost savings in the HIM department through optimization, outsourcing, or co-sourcing. The healthcare system leaders chose to leverage the strengths of both organization by co-sourcing and implementing the Solarity with Review services solution. With this model, the healthcare system scans records in large batches and electronically routes the images through EDCO’s Solarity software for document recognition and automatic indexing. Indexed images are then reviewed for 99% or better quality by EDCO staff and are available in the EDMS in less than 12 hours from scanning, often in as little as one hour.
The elimination of the indexing responsibility from the hospital and clinic staff allowed scanning personnel to move to centralized areas and for HIM to reorganize into a smaller, more cohesive, and more efficient department.
By leveraging the patented Solarity solution and redesigning the operational workflow of documents, the organization was able to optimize efficiencies and create a unit cost reduction of 27%. This equated to a savings of $771,161 in the first year. The solution also produced a 300% time savings for the healthcare system staff and reduced chart turnaround time in the scanning and indexing process from 24 – 36 hours to 1 – 12 hours.
